This policy explains how we collect, use, share and protect personal data when you use primeentcenter.in, contact our clinic, book or request an appointment, or communicate with us through WhatsApp, telephone, email or another digital channel.

This policy covers our website and digital communications. Clinical records may also be governed by applicable healthcare, professional, tax and legal record-keeping requirements.

Who is responsible for your data

Prime ENT Center, Nagheta Road, Hardoi, Uttar Pradesh 241001, India, is responsible for the personal data described in this policy.

Privacy questions and requests may be sent to info@primeentcenter.in or made by calling +91 73930 62200.

Personal data we may collect

Depending on how you interact with us, we may collect:

  • your name, telephone number, email address and contact preferences;
  • appointment requests, preferred dates or times, and the reason you contact us;
  • messages and information that you choose to share through website forms, WhatsApp, email or telephone;
  • limited health-related information that you voluntarily provide so we can respond to an enquiry or support your care;
  • communication records, including delivery status and consent or preference records;
  • technical information such as IP address, browser and device type, pages visited, referring page, security logs and cookie or analytics identifiers; and
  • information required for billing, legal compliance, fraud prevention or the protection of patients, staff and our services.

Please do not send emergency information or unnecessary sensitive medical documents through a general website form or WhatsApp. For a medical emergency, contact the appropriate emergency service or attend the nearest emergency facility.

How we use personal data

We may use personal data to:

  • respond to enquiries and appointment requests;
  • provide appointment confirmations, reminders, follow-up information and service messages that you requested or reasonably expect in connection with your care;
  • communicate through your chosen channel, including WhatsApp;
  • operate, secure, troubleshoot and improve our website and communication systems;
  • understand general website usage and measure whether our contact options work;
  • maintain appropriate clinical, administrative, consent, audit and legal records; and
  • comply with applicable law, professional obligations and lawful requests.

Where consent is the basis for processing, you may withdraw it at any time by contacting us. Withdrawal does not affect processing already carried out lawfully and may not require deletion of records that we must retain for healthcare, legal, security or dispute-resolution purposes.

WhatsApp and Meta

If you contact Prime ENT Center on WhatsApp or agree to receive WhatsApp communications, your telephone number, profile information made available by WhatsApp, message content, attachments and message-status information may be processed by Prime ENT Center and by Meta Platforms and its service providers to deliver and secure the communication.

We use the official WhatsApp Business Platform for approved patient-care and service communications. We do not sell WhatsApp contact data. You can ask us to stop non-essential WhatsApp communications at any time by replying STOP or contacting us through the details above. Essential replies to an active request and records required for patient care or law may still be retained or handled as appropriate.

Your use of WhatsApp is also subject to WhatsApp’s and Meta’s own terms and privacy practices. You may choose telephone or email if you do not wish to use WhatsApp.

Cookies, analytics and embedded services

Our website may use essential cookies and similar technologies needed for security, performance and basic functionality. It may also use analytics or embedded services that receive technical and usage information. Where required, we will request consent before using non-essential cookies. You can control cookies through your browser settings, although disabling essential cookies may affect site functionality.

When we share personal data

We may share only the data reasonably needed with service providers that help us operate our website, hosting, security, email, appointment, analytics and communication services, including Meta and WhatsApp when that channel is used. We may also share data with treating professionals or healthcare providers when needed for your care and permitted by law, or with authorities when legally required.

Some technology providers may process data outside India. Where applicable, their processing is governed by their contractual safeguards, privacy terms and applicable law.

We do not sell or rent your personal data.

How long we retain data

We retain personal data only for as long as reasonably necessary for the purpose for which it was collected and to meet healthcare, professional, accounting, security, dispute-resolution and legal obligations. Retention periods vary by record type and service. Data may remain for a limited additional period in protected backups or logs before being securely removed in accordance with our operational processes.

Security

We use reasonable administrative, technical and organisational safeguards designed to protect personal data against unauthorised access, alteration, disclosure or loss. No internet or messaging service is completely secure, so please share only information necessary for your request.

Your choices and rights

Subject to applicable law and relevant healthcare record obligations, you may ask us to:

  • confirm whether we process your personal data and provide information about that processing;
  • correct inaccurate or incomplete personal data;
  • erase personal data that is no longer required or otherwise eligible for erasure;
  • withdraw consent or stop optional communications; or
  • address a privacy grievance.

To help protect your information, we may need to verify your identity before completing a request. We will respond in accordance with applicable law.

Children’s privacy

Our services include care for children. A parent or lawful guardian should provide or authorise a child’s personal data and communicate with us on the child’s behalf, except where applicable law permits otherwise. We do not knowingly use children’s personal data for behavioural advertising.
